Associate Director (AD)
Position Description
Circlewood is seeking a mission-driven, detail-oriented leader to direct Circlewood’s operations and prepare Circlewood for the next phase of missional growth. This new role is vital for increasing Circlewood's impact as it expands its programmatic reach and develops its physical site. Reporting to the Executive Director, the AD will serve as a strategic partner and the internal leader responsible for day-to-day operations. This position requires living on, or in close proximity to, Camano Island, WA.
Key Responsibilities
Strategic Execution for Growing Organization
The AD will work closely with the ED to move vision and goals into tactical, process-oriented workflows and systems, including:

Translating Circlewood’s long-term vision and strategic planning into actionable annual operating plans and performance metrics.

Standardizing operating procedures across the organization.
Operational Leadership for Retreat and Learning Center
The AD will manage the operational, ecological, and regulatory logistics of Circlewood’s 40-acre site on Camano Island, including:

Implementing and tracking Circlewood’s 30-year forest management plan.

Maintaining and caring for existing buildings and infrastructure.
-
Organizing and managing volunteer site work.
-
Overseeing new construction and managing permitting, zoning, code requirements.

Establishing safety protocols for program participants, volunteers, and guests.
Team & Culture Management
The AD will lead and mentor a growing team, fostering a collaborative, mission-driven culture that values individual and team wellness, including:

Leading staff meetings and supervising core staff members.

Recruiting and onboarding new team members.
-
Overseeing employee policies, compensation, and benefits.
-
Supporting staff through IT infrastructure.
Program Integration
The AD will coordinate program implementation and integration across Circlewood’s three core areas (media, education, physical site), including:

Ensuring thoughtful programmatic scheduling and support.

Identifying and aligning collaborative work across disciplines.
Financial Oversight
The AD will oversee budgeting processes, financial management, internal and external reporting, ensuring organizational resilience, including:

Tracking and reporting monthly, quarterly, and annual financial data.

Ensuring rigorous financial controls, regulatory compliance, and external reporting.

Providing operational support for grant writing and fundraising.
Preferred Qualifications
Mission Alignment: A deep commitment to ecological discipleship and the "greening of humanity".
Experience: 10+ years in operations and facilities management, ideally with small nonprofits in the faith-based and/or environmental sectors.
Leadership: Proven track record of building systems and scaling organizations while maintaining a creative, "learning-oriented" atmosphere.
Skills: Strong background in financial modeling, project management, and cross-functional team leadership.
